The Challenge
A UK Purpose-Built Student Accommodation (PBSA) operator with 8,400 student beds across 24 properties and 12,000 tenancy transactions per year needed a unified digital platform — replacing a combination of legacy Kinetic (now Yardi Student) installations and spreadsheet management. ANUK National Code of Practice for PBSA, Consumer Rights Act (student tenancy — fixed term with vacation rights), UK GDPR for student personal data, ICO AADC (some students are 17–18 year olds in first year), Housing Act 1988, and WCAG 2.1 AA were mandatory. Budget: £110,000.
Our Approach
PBSA tenancy lifecycle
- application (prospectus → online application → ID verification → guarantor application for under-18 or international students) → booking (deposit payment — DPS TDS (Tenancy Deposit Scheme) mandatory) → contract (AST — Assured Shorthold Tenancy or Academic Tenancy Agreement) → move-in (condition report, key issue, induction) → tenancy management (maintenance requests, community events, compliance checks) → renewal or move-out (deposit resolution, condition comparison).
- All stages digitised with DocuSign (tenancy agreement electronic signature) and GOV.UK Notify (automated stage notifications).
ANUK National Code
UK's primary PBSA quality standard (covers management, tenancy conditions, maintenance, safety, and community).
ANUK evidence platform
compliance evidence collection (fire risk assessment date, electrical safety certificate date, gas safety certificate date, water hygiene log), maintenance SLA tracking (emergency: 24 hours, urgent: 3 working days, routine: 28 days), and annual ANUK audit pack generation.
Welfare
mental health support signposting (student welfare portal — Student Space, NHS 111, university counselling links), welfare flag system (if maintenance request or communication suggests student distress — welfare team notified).
International student guarantors
UK-based guarantor required for international students above 18.
Guarantor workflow
guarantor credit check (Experian), guarantor agreement (DocuSign), and guarantor notification when student rent is overdue.
Visa compliance
students on Tier 4/Student visa — PBSA operator must maintain attendance and accommodation records (may be required by Home Office).
Student visa check
- UKVI (UK Visas and Immigration) sponsorship check at application (verify student studying at a registered higher education provider — student number verification via HESA Student Data).
