The Challenge

A UK apprenticeship training provider delivering Level 2–5 apprenticeships to 2,400 apprentices across 180 employer partners needed to replace their legacy e-portfolio and progress tracking system. ESFA (Education and Skills Funding Agency) digital apprenticeship data requirements, Ofsted ETF (Education and Training Foundation) digital learning standards, UK GDPR for apprentice personal and performance data, and employer portal access for 180 companies were the requirements. Budget: £85,000.

ESFA Apprenticeship Service

Progress RAG status

  • automated calculation from portfolio completion vs programme timeline.
  • End-Point Assessment (EPA) readiness dashboard: percentage of standard units evidenced.

Employer portal

line manager access to their apprentices' progress (not other employers' apprentices).

Progress reports

  • automated monthly PDF to employer HR contact.
  • Off-the-job hours tracking: employer-confirmed training hours (ESFA 20% requirement).

Skills gap analysis

employer can flag in-work skill development areas against apprenticeship standard.

Apprentice data includes

Article 28 DPA with ESFA (government body) required.
