The Challenge
A UK pharmacy chain (840 branches, 2.8M prescription items per month) needed to modernise their dispensing platform -- replacing a legacy Titan Pharmacy system with a cloud-native dispensing management system. EPS (Electronic Prescription Service -- NHS Digital), NHS BSA (Business Services Authority -- prescription pricing and payment), NCSO (No Cheaper Stock Obtainable -- drug pricing), NHS DTAC all 5 domains, DCB0129, GPhC (General Pharmaceutical Council -- pharmacy regulation), CQC (Care Quality Commission), UK GDPR Article 9 (prescription data is health data), GDS design principles for patient-facing elements. Budget GBP150,000.
Our Approach
Integration
EPS (Electronic Prescription Service): NHS Digital service allowing GPs to send prescriptions electronically to pharmacies.
EPS integration
- 1EPS prescription download (pharmacy nominates a dispensing point -- prescriptions downloaded from NHS Spine via EPS API),
- 2dispense claim (pharmacy dispenses prescription -- claim submitted to NHS BSA via EPS),
- 3dispense notification (patient notification sent via EPS when prescription ready for collection),
- 4prescription tracker (NHS App integration -- patient tracks prescription status),
- 5cancellation handling (GP cancels prescription via EPS -- pharmacy must stop dispensing).
NHS Spine connectivity
EPS requires NHS Spine connection (HSCN -- same as PDS, GP Connect).
ClickMasters EPS
HSCN onboarding started day 1.
NHS BSA Prescription Pricing
NHS BSA (Business Services Authority) prescription pricing and reimbursement: (1) FP10 claim (pharmacy submits monthly FP10 claim to NHS BSA -- all dispensed items), (2) Drug Tariff (NHS BSA publishes Drug Tariff monthly -- price paid for each drug), (3) NCSO (No Cheaper Stock Obtainable) -- when drug is out of stock, pharmacy claims NCSO reimbursement at higher rate), (4) endorsement (pharmacy must endorse prescription correctly -- endorsement errors cause NHS BSA payment reductions), (5) contractor payment (NHS BSA pays pharmacy monthly -- reimbursement + dispensing fee + service fees).
Automated FP10 claim generation
ClickMasters platform auto-generates FP10 claim from dispensed items -- pharmacy pharmacist reviews and submits.
GPhC and CQC Compliance in Dispensing System
GPhC (General Pharmaceutical Council): pharmacy professional regulator.
GPhC standards for dispensing systems
- 1SOPs (Standard Operating Procedures) -- dispensing SOP must be documented and accessible in system),
- 2CD register (Controlled Drugs register -- CD dispensing logged digitally -- Home Office CD regulations),
- 3near miss log (dispensing near misses logged -- GPhC expects near miss analysis),
- 4patient safety alert (MHRA and NHS BSA patient safety alerts -- system must show active alerts for affected drugs),
- 5audit trail (every dispensing action logged -- GPhC inspection expects complete audit trail).
ClickMasters GPhC module
- SOPs displayed at point of dispense, CD register automated, near miss workflow, patient safety alert feed.
- Patient-
NHS App integration for pharmacy
- 1prescription tracking (patient sees prescription status on NHS App -- nominated pharmacy, dispensed, ready to collect),
- 2repeat prescription ordering (patient orders repeat via NHS App -- EPS sends to pharmacy),
- 3My Planned Care (NHS App -- planned care pathway -- pharmacy receives discharge prescription from hospital),
- 4NHS Login (patient authenticates via NHS Login P9 -- accesses prescription history),
- 5pharmacy search (NHS App pharmacy search -- pharmacy registers dispensing location on NHS App).
ClickMasters pharmacy NHS App
prescription tracking real-time (patient sees dispensing status updated within 60 seconds of dispense action).
The Results
NHS DTAC all 5 domains approved.
EPS live.
Platform live at 28 weeks, GBP138,000. 840 branches. 2.8M prescription items/month.
EPS download: 100% automated.
FP10 claim: automated monthly.
CD register: 100% digital.
Near miss log: 94.2% compliance rate (was 68.4% paper).
NHS App prescription tracking: 100% real-time.
GPhC inspection: confirmed compliant.
DCB0129 zero incidents.
DTAC all 5.
EPS live. 2.8M items/month.
FP10 automated.
CD register digital.
Near miss 94.2% vs 68.4% paper.
NHS App real-time.
GPhC confirmed.
The near miss rate improvement -- from 68.4% paper logging to 94.2% digital -- matters because every logged near miss is a learning opportunity.
Pharmacies that analyse near misses systematically have better patient safety outcomes.
Paper near miss logs are rarely analysed.
Digital near miss logs with automated trend detection are analysed every week. -- Chief Pharmacist, UK Pharmacy Chain
