The Challenge
A UK property management company managing 1,200 residential properties across 18 landlord clients was using a combination of Spreadsheets, email, and a legacy system from 2012. Manual rent collection had a 12% late payment rate. AML compliance for estate agency activities was undocumented. The company needed a SaaS platform to launch as a product to other property managers.
Our Approach
SaaS Architecture: Next.js frontend, Node.js/Fastify backend, PostgreSQL separate schema per tenant (AML 5-year retention requires separate from GDPR minimisation), GoCardless for direct debit rent collection, AWS eu-west-2. AML Compliance: CDD workflow for new landlords and tenants above £10,000 transaction threshold. EDD triggers configured per MLRs 2017 thresholds. MLRO escalation dashboard. Sanctions screening via Dow Jones API. AML records retained separately from GDPR-subject personal data (5-year legal retention vs shorter GDPR minimisation requirement). Land Registry Integration: HMLR Search for Land and Property API for property title verification. Official Copy integration for landlord onboarding documentation. RICS-aware: AVM valuations clearly marked as "indicative only — not a RICS Red Book valuation." GoCardless Rent Collection: Variable direct debit mandates (for variable rent service charges). Retry logic with landlord notification. Failed payment dashboard. Dispute management workflow. FCA e-money consideration documented (platform passes through payments, does not hold funds — e-money licence not required).
The Results
Launched to first paying customer at 16 weeks. Late payment rate: 12% → 2.3% (GoCardless direct debit vs manual collection). AML audit by HMRC: zero findings. Platform launched as SaaS product: 8 paying property management customers in first 6 months at £2,400/year each. Seed investment received 8 months post-launch.
