The Challenge
UK Build-to-Rent operator managing 8,400 residential units across 28 sites needed unified letting management SaaS -- replacing Excel tenancy tracking, paper Right to Rent checks, and manual TDS registration. Homes Act 2018, Housing Act 1988 (ASTs), Right to Rent, TDS, CMA unfair terms, UK GDPR, WCAG 2.1 AA. Budget GBP120,000.
Our Approach
AST Digital Workflow
- 1tenant application (income verification, credit check via Experian API, employment reference),
- 2Right to Rent check (GOV.UK share code for non-UK nationals, document upload for UK nationals),
- 3AST generation (automated -- Homes Act compliance clauses included),
- 4e-signature (DocuSign),
- 5deposit registration (TDS API -- mandatory within 30 days).
CMA guidelines
AST terms reviewed against CMA unfair terms -- prohibited clauses removed.
Right to Rent Compliance
- 1GOV.UK Right to Rent online service -- share code verification,
- 2document-based check (passport, BRP, visa -- scanned and uploaded),
- 3time-limited right tracking (visa expiry -- 90-day automated reminder),
- 4record keeping (tenancy duration + 1 year),
- 5Home Office reporting (if check fails -- reporting obligation). Right to Rent failure does not give automatic right to evict -- lawful eviction process required.
TDS Deposit Protection
- 1deposit received via GoCardless -- ring-fenced,
- 2TDS REST API auto-registration on receipt,
- 3Deposit Protection Certificate to tenant (GOV.UK Notify),
- 4Prescribed Information within 30 days,
- 5check-out deductions (inventory report, TDS arbitration for disputes).
Housing Act 2004
failure to register within 30 days = 3x deposit fine.
BTR Tenant Portal
- 1rent payment (GoCardless VRP -- monthly bank-to-bank),
- 2maintenance requests (React Native -- photo + description, priority triage),
- 3maintenance tracking (GOV.UK Notify status updates),
- 4document vault (AST, deposit certificate, house manual),
- 5community board (opt-in, GDPR consent required). Homes Act category 1 hazard (damp, mould, heating failure): automatic emergency 24-hour SLA.
The Results
Platform live at 20 weeks, GBP112,000. 8,400 units, 28 sites.
TDS 100% within 30 days (zero penalties).
Right to Rent 100% digital.
AST e-signature 94.2%.
Deposit dispute rate 2.4% vs 8% industry.
Maintenance response 4.2 hours vs 18.2.
Homes Act 284 escalations all resolved within 24 hours.
WCAG zero.
βTDS 100% within 30 days -- zero penalties. Deposit dispute 2.4% vs 8% industry. Maintenance 4.2 vs 18.2 hours. Homes Act 284 escalations all within 24 hours. The Homes Act escalation automation -- damp/mould/heating automatically flagged as category 1 -- prevents legal liability. A Homes Act category 1 hazard unresolved is a civil claim against the landlord. ClickMasters automated the triage that prevents those claims." -- Group Operations Director, UK BTR Operatorβ
